We currently have an exciting opportunity for a Bilingual Executive Service Coordinator to join our team.  The objective for this role is to ensure excellent executive and governance support for the President & CEO, the Executive Committee and the Association’s Board of Directors

Reporting to the President & CEO, the primary responsibilities of this role will be:

  • Organizes meetings, agendas and reports for quarterly gatherings of the Executive Committee and the Board of Directors on behalf of the President
  • Ensures the preparation and distribution of committee agendas and minutes by staff liaison or committee chairs
  • Provides all aspects of committee support, including liaising with chairs, developing agendas, inviting and liaising with invited speakers and guests, scheduling meetings, arranging catering, and coordinating and distributing meeting materials
  • Ensures compliance with by-laws, government regulations and association protocol
  • Schedules meetings and appointments, taking meeting minutes and arranging travel and accommodation.
  • Prepares confidential and general correspondence, reports, transcripts, presentations, etc. Determines proper format, edits, produces and distributes
  • Performs tasks in support of the Executive Management Team including the preparation of agendas and the processing of notes
    • Works on special projects and tasks for the President, as assigned. Performs other special duties, maintaining confidentiality and professionalism
    • Ongoing monitoring of progress and coordination of CUTA's Strategic Plan  and Operational Plan, including tracking of performance targets
    • Coordination of CUTA corporate representation at external events and collaborative agreements with other Associations
    • Assists conference staff with support at CUTA Conferences

The preferred candidate will have the following skills, experience, and abilities:

  • Minimum 5 years experience working in as an Executive Administrative Support role   
    • Excellent organizational and communication skills, possessing a high level of problem solving and analytical abilities
    • Entrepreneurial spirit suited for fast-paced, results-based environment, requiring flexibility to ever-changing needs
    • Exceptional Bilingual English/French verbal and written communication skills 
    • Proficient in Microsoft Office programs and corporate data systems
    • Self-motivated, flexible and adaptable with the ability to plan, organize and schedule work; able to judge multiple tasks with competing deadlines
    •  Uses creativity and initiative in designing new work methods
    •  Strong communication skills (written and verbal); ability to interact with all level of internal and external contacts
    • High level of confidentiality and diplomacy
  • Team player who possess a proactive business and customer service outlook
